If you have received this document as an email, it means that we have you listed as the primary contact for your company’s attendance at the show. If this is not the case, please could you forward this to the relevant person and email us to let us know who we should be in touch with.

As show time is rapidly approaching, we wanted to provide you with some more information about the events. Please check below for dates, venues, accommodation bookings, obtaining your exhibitor badges, marketing, deliveries and room access as well as important event safety information.

All exhibitor information will also be updated shortly on the website www.thebpts.co.uk for your convenience and ease of access.

The Green & Sustainable Shows have been rebranded this year as The BIG Promotional Trade Shows – Mid-season. With sustainability now being the norm rather than the exception we want to focus on the sustainable mindfulness of all our shows across the board.

Important Exhibitor Information

Show Emphasis – Feedback
Please take care when planning and preparing your displays that they focus on new products, ranges, catalogues etc.

Feedback from some of our previous shows, mentions that a number of exhibitor displays looked the same and contained the same products from show to show.

COVID-19 and other air borne viruses
While the United Kingdom has lifted all legal restrictions and requirements, we will continue to monitor and enact any COVID-19 and other health information and guidance as it is published by government and will follow policy and advice from our venues, UK regions and their heads, the Irish government, the WHO and event industry associations. The well-being and health of everyone is paramount to us.

Currently, we are working with our venues on any on-going COVID-19 requirements and will communicate the latest information to you all as it becomes available. While there are no legal restrictions required, several factors will be in play such as but not limited to:

  • Enhanced venue sanitation, thorough cleaning regimes and a focus on hygiene
  • Revised entry and registration to avoid close queuing
  • Wide aisles. One way system not required
  • Face coverings are not required
  • Availability of masks and hand sanitiser, increased hand wash facilities & sanitiser stations. We strongly advise that you have hand sanitiser and wipes on your stands
  • Maximum venue ventilation
  • Changes to how food and beverages are served

We are asking individuals NOT to attend our exhibitions if they…

  • Have tested positive for COVID-19, are displaying symptoms or even if they are asymptomatic
  • Have been asked to self-isolate because they have been exposed to a person with COVID-19
  • Are feeling unwell generally or believe they have a viral infection of some kind including flu
  • Or live with an individual who has symptoms of COVID-19

Our venues are quite spacious, and this will be used to maximum advantage. We fully respect everyone’s right of personal choice regarding the wearing of masks and taking any other measures that makes them feel comfortable.

Sustainability
We take sustainability seriously and are working continuously to lower our environmental impact. Following the success of the tree planting initiative at our Sustainable Shows, planting a tree for each attendee has been extended to all live events and exhibitions.

Wherever possible banners and signage at the shows will be reusable and recyclable at end of life. The use of printed paper and card has been curtailed. Show lanyards return and recycle bins are positioned at show exits and exhibitor lanyards and badges will be collected by our “badge monitors”, all lanyards will be recycled and reused in conjunction with our supplier Preseli UK.

All show entry badges are already completely recyclable. Exhibition venues, contractors and partners will continue to be encouraged to take the eco-journey with us, for instance, the Marriott kitchens are some of the most sustainable in the world, you are welcome to take a tour.

We urge you to join us and help make the shows as low impact as possible and encourage you to be planet mindful too!

Additionally, we are pleased to make a donation to a food bank, school or other body of need or charity local to each venue that we use for our shows.

Show Bags and show branded products – sponsorship
After the success of last year, we are please to offer the opportunity to 20 exhibitors only to supply items to be placed in prefilled goody bags at all BIG Shows. These will be special bags for the first 20 entrants plus 5 held back for VIP visitors.

Please contact nigel@thebpts.co.uk to book your product in. We want to make sure there is as little duplication of product as possible.

General bags will be supplied to visitors empty at the registration desk for them to fill on their way round the show at each exhibitor stand.

We are always happy to work with our exhibitors on sponsorship opportunities for all our shows, venues and marketing. If you would like to provide show-branded or co-branded products as giveaways, or are interested in sponsorship opportunities please contact, nigel@thebpts.co.uk

Exhibitor Access
Exhibitor access at all venues will be from 8am for set-up. All stands and exhibits should be ready so that we can open the shows promptly at opening time. There may be limited access night prior at the Marriott Heathrow. Access is also possible night prior at Dublin and Elstree. We will confirm nearer the time. There is no access night prior at Manchester, Glasgow or Leeds this year.

Exhibitor Space
We are expecting 60 plus companies to exhibit. All exhibitors will be pre-allocated a space with a 6-foot x 2-foot table plus one chair (except for double or triple stands or by prior arrangement). You can use the space as you see fit (subject to stand safety) and do not need to use the table which can be removed. If bringing any large equipment or displays, please inform the show organiser nigel@thebpts.co.uk

Show Décor & Appearance
As agreed, to augment the exhibition appearance, all exhibitors are to use an own company branded tablecloth and either one or two standard pull-up banners or single pop-up framed banner. We can supply tablecloths at cost as long as we have sufficient notice and help with banners, please get in touch nigel@thebpts.co.uk

Show Awards
In keeping with the above, we are pleased to once again be presenting an award to the best dressed stand at each show. We will also be presenting awards for most innovative product at each show series. There will also be awards for best wearables stand and product as well.

Power
Power is available around the room in the walls and floor at most venues. If you require an electric socket, please advise us asap and we will try and accommodate you. No trailing or long leads for safety reasons please.

Electrics and PAT Testing
Please make sure that all leads and appliances you may need to plug into the mains supply, including laptops, are PAT tested. We can PAT test on site but there is a charge for this service, and it is subject to time availability.

Wi-Fi
Is free and available in the exhibition rooms although there is no guarantee of bandwidth.

Breakdown
This will only commence once all visitors have left the show upon its closure. No clearing of stands before this time please for safety reasons and out of respect for other exhibitors and of course the visitors.

Dress Code
Business attire / company uniform. We ask that you present yourselves on stand as you would if you were visiting clients at their offices.

Music
If you wish to play music at any volume on your stand, please let us know. Broadcasting rights are controlled by our venues. We appreciate that many of you need to demonstrate speakers etc and this is not a problem. Please make sure that sound levels do not disturb adjacent stands.

Exhibitor Car Parking / Unloading – IMPORTANT
Parking is gratis and freely available at all venues for all visitors and exhibitors. At hotel venues, charges may apply if you are staying overnight, please enquire when checking in.

Please be mindful of other people and vehicles when unloading. Do not block access doors or hinder others, especially guests at hotel venues.

Manchester United. Manchester United is a world-class venue and as such maintains a high state of security alert. If you are arriving without needing to unload, please advise the gatekeepers and they will direct you about where to park or head for car park N2 off Wharfeside Way.

If you need to unload, you will need to provide us with your registration and passenger details which the gatekeepers will check against their list. Please complete the simple form attached and email it back to nigel@thebpts.co.uk as soon as possible to enable timely collation. Please can you use the subject line “Man Utd Exhibitor Vehicle Access” in your email. If logging in to this from the web site, just use the above email and send us: Car Registration, Colour, Make and Model. Passenger details will need to be logged too.

If you have the same vehicle as last year, you can send a simple email, with the above header stating this and no form needed.

We have been working with Manchester United to try and improve exhibitor access to both the car parks and the stadium, so please take note of the following information.

Unloading for exhibitors is by the United Road security gate off John Gilbert Way, accessed via Wharfside Way M17 1AU as per usual. You may still need to have your vehicle details checked, but security will be setting up a secondary checkpoint to stop cars from queuing unnecessarily. Additionally, to speed things up, please download and display the attached Exhibitor Vehicle Permit.

North stand access to The Manchester Suite.We have arranged with Manchester United that there will be an additional 2 security lanes to expedite load-in this year but please remember that there are still only two lifts to access the suite.

Please allow extra time to get to Manchester United through a congested traffic area and also to access the suite.

Please follow instructions and directions from Manchester United security and traffic marshals at all times. Once unloaded, please move your vehicle from the Manchester Suite entrance to the car park area. If you only have a couple of items to bring in you can also park in what is the Visitor Car Park, N2 accessed off Wharfside Way and a very short walk over the canal bridge.

Once unloaded, please move your vehicles away from the doors and accesses and park at the rear of the car parks to enable easy entry for our visitors.

If you have very heavy items, a large amount of equipment or need extra help for other reasons, please email nigel@thebpts.co.uk to apply for a Special Access Pass to unload adjacent to the Manchester Suite doors.

Dublin. The venue is on the first floor with good lift access. Please unload through the main entrance at the front of the hotel. You will need to move your vehicle once unloaded.

Glasgow. Please note that exhibitor vehicle access and unloading is via the hammer head turning location at the front entrance adjacent to the river. There is no longer access vis the SEC site. Please take care when loading / unloading here as it is a public right of way with pedestrians and bicycles moving about. There will be a marshal on duty at busy times, please respect their instructions.

Marriott Heathrow. Access is either through the main front entrance and up the escalator or stairs or to the left rear area where there is a large / lift directly to the suite.

Please note that Bath Road and the area around Heathrow once you come off the M4 is now part of the Greater London Ultra Low Emissions Zone.

Elstree London
Access is best either via the side access doors on the entry road, going right the around the hotel first or via the access doors in front of the bar area.

Headingley Stadium
Enter the stadium car park from St Michael’s Road. Register your vehicle with the marshals and follow directions to unload.

Belfast
Access is via the main front doors and the suite is on the right.

Once unloaded at all venues, please move your vehicles away from the doors and accesses and park at the rear of the car parks to enable easy entry for other exhibitors trying to unload and for visitors.

Due to the security policy at all venues, we will not be able to open the exhibition if vehicles are parked in an unauthorised manner.

Emission Zones
Bath Road Heathrow hotels fall within the London Ultra Low Emissions Zone (ULEZ). For more information, please go to: https://tfl.gov.uk/modes/driving/ultra-low-emission-zone
The Greater Manchester Clean Air Zone has not been activated.

Refreshments
Tea, coffee, biscuits and water will be available throughout the day from 8am to close. A buffet lunch will be served for all exhibitors and visitors from 1pm – 2pm. ( 2pm at the autumn shows). If you have any special dietary requirements, please let us know as soon as possible. Vegetarian and vegan options will be available, as is decaffeinated coffee and plant-based milk. We have added salad options to lunch at all venues.

Exhibitor Registration
There is a link below to register for exhibitor badges. You will only need to register once for badges for all shows.

Exhibitor badges must be worn at all times to gain access to the show and during the build-up and breakdown periods. Badges ordered prior to show dates can be collected from the registration desk on arrival if they are not on your stand when you arrive at the venue.

Badges can be printed on-site if necessary but please note that visitor registration will take priority during the open period.

PLEASE NOTE that if you have previously registered as a show exhibitor you will not have to register again for other The BPTS events. Please register any colleagues who you know will be exhibiting with you or forward this email to the relevant team member if you will not be attending yourself.

Show Marketing
As you will be aware for 2026 your company has signed a Show Marketing Agreement. Details below again for your convenience.

Exhibitor Marketing Participation Agreement

Your participation in marketing the exhibition helps everyone – including you. When more visitors attend, you gain more opportunities to connect with potential buyers, partners, and media contacts. Together, we can create the kind of energy and turnout that makes this event truly valuable for all exhibitors.

We do not have an industry exhaustive database; everyone has different contacts. This is why a collaborative effort works best. Why would you not want to invite your customers and prospects to come and see you at the shows?

  • The more visitors the shows attract, the greater the exposure and sales opportunities for exhibitors.
  • Every marketing action an exhibitor takes — such as inviting clients, posting on social media, or including the event in email newsletters — directly increases potential leads and ROI.
  • When exhibitors promote the show, it creates a multiplier effect: potential visitors see many suppliers talking about the same event, which signals credibility, scale, and excitement.
  • This helps establish the show as the must-attend industry event — benefiting all participants.
  • As an exhibitor, you know the best contacts to invite and can reach qualified, relevant contacts — people who are likely to attend, network, and buy.
  • Personal invitations from exhibitors often carry more weight than general advertising from organisers.
  • By promoting the shows, exhibitors position themselves as leaders and active contributors to the industry.
  • It strengthens your company’s visibility before the event and can even drive more footfall to your stand during it.
  • Trade exhibitions thrive on collaboration. Organisers handle logistics, venue, and broad marketing — but exhibitors amplify that effort with direct engagement.
  • When both sides work together, it leads to higher attendance, better media coverage, and stronger long-term event growth.
  • A well-promoted, well-attended show benefits future iterations too. More visitors this year means more data, testimonials, and momentum for next year’s show — which helps exhibitors again when they return.

1. Purpose
The purpose of this Agreement is to outline the Exhibitor’s commitment to participate in and support the Organiser’s marketing and promotional activities for the shows, thereby enhancing overall attendance and visibility.

2. Exhibitor Commitments
The Exhibitor agrees to:
Promote the shows through their available marketing channels, including but not limited to:

  • Email newsletters to subscribers, customers and prospects and use Product Spotlight And Show News
  • Placement of information about exhibiting on your websites and event pages as well as email footers etc.
  • Social media platforms (LinkedIn, Facebook, Instagram, X/Twitter)
  • Use Organiser-Provided Materials such as official event logos, digital banners, press releases, and sample social media copy. These will be supplied to all exhibitors ahead of the shows by WeTransfer.
  • Collaborate on Cross-Promotion, including potential features in Organiser’s newsletters or social posts. Additional promote news about your stand, products and special show exclusive offers and products. (Optional)
  • Contribute to show goody bags and provide giveaways. (Optional)

3. Organiser Commitments
As the Organiser we agree to:

  • Run heavyweight and wide-reaching marketing campaigns in support of our shows.
  • Provide Exhibitors with approved marketing materials, digital assets, and suggested messaging templates.
  • Recognise participating Exhibitors in marketing highlights or promotional content when possible.
  • Support Exhibitors in achieving mutual visibility and engagement goals for the shows.
  • Email newsletters to subscribers and use Product Spotlight And Show News.
  • Use of show websites and adding information where possible to industry websites, event pages and diaries.
  • Advertise where suitable in industry publications, e-zines and magazines.
  • Run telephone and postal marketing campaigns in support of our shows.

4. Timeline
Exhibitors agree to begin marketing efforts no later than 12 weeks prior to the shows and continue through to their conclusion.

5. Compliance and Conduct
All marketing efforts must:
Accurately represent the shows and Organiser.
Comply with applicable advertising and data protection laws.
Avoid misleading or competitive claims about other exhibitors or the shows themselves.

6. Non-Compliance
Failure to make reasonable efforts to support the marketing initiative may affect future participation eligibility or promotional opportunities provided by the Organiser.

7. Agreement Term
This Agreement is effective as of the date signed below and remains in effect through the completion of all marketing activities related to the shows you have contracted to exhibit at.

As always, the marketing effort to maximise the return on investment we have all put into the show is down to us all. Please contact your customers and prospects and invite them to attend. Marketing these shows is a collective arrangement.

We will provide you with the show logos, social media images and icons by WeTransfer for your own use. If required an email document that you can top and tail to use, can be supplied, please let us know.

We are of course already conducting an on-going year-round heavyweight marketing campaign across all forms of print and digital media, postal and tele-marketing and social media campaigns. But nothing works better than distributors receiving multi-channel communications not just from us but from you all as well.

The BPTS Product Spotlight And Industry News

The BPTS Product Spotlight And Industry News e-zines are currently going out each Tuesday morning with an editorial content deadline of the Friday prior to publication.
We will also be running Show Special Editions regularly in the run-up to the events so please send dedicated show orientated collateral, preferably carrying show logos and branding to us for this.
We will be delighted to feature all the exciting new products, ranges and catalogues many of you are currently launching and will be featuring at the exhibitions!
This is a complimentary service available only to BIG Show group members and exhibitors and goes out to our whole database. Distributors are all very welcome to contribute their own news and content too.
We are getting great levels of contributions from many of you no, with more than 120 of you taking part either regularly or occasionally – thank you for the support. While we have sufficient content, we shall continue to publish weekly. The open and impression rates are remaining extremely good too! Payment

As you know these shows are being run on a not-for-profit basis for the benefit of us all. Please help by paying your invoices promptly!
Any amount outstanding 5 days prior a show may preclude you from exhibiting.


Insurance
It is a requirement of exhibiting that each company maintains their own public liability insurance to a minimum value of £5 million.
Proof of insurance may be requested by our venues.

Deliveries and Trolleys on Show Floor
For safety reasons and out of respect to the visitors, no heavy deliveries will be allowed into the show during the open period.
No trolleys or sack barrows of any kind will be allowed into the exhibition during the open period.

Deliveries to the Show and Collections
If you are using deliveries by courier or carrier, please ensure you label all packages and each box clearly with your company details.
Packages delivered prior to the event should be addressed as below and delivered within 48 hours of the show date or may be refused. Some venues have limited storage, others are vast, and packages can be easily mislaid if not labelled correctly.
The BPTS and our venues cannot be held responsible for any lost or refused packages.

Collections by transport companies or courier need to be during the breakdown period only, or by prior arrangement the following day. No collections will be allowed during the show and any collections arranged after the end of our tenancy will be at own risk.

Overseas Deliveries, Waybill & Tax Payments Including Shipping to the Island of Ireland IMPORTANT


If you are shipping from Europe directly to our offices or to our venues, or from the UK to Ireland or Northern Ireland you MUST ensure that you pay your own Waybill and taxes. Your own company contact details must be included on the transit forms for this to happen.

Venues will refuse to accept goods where they are being invoiced for tax because documentation has been incorrectly completed. This means you may well no stock to show.


Visitor List – GDPR

Each exhibiting company will be emailed the names and addresses of delegates post-show once data protection opt outs have been removed. To comply with Data Protection Law this list will not include email addresses or other personalised data as no direct permission has been gained for third party use. A full data list will be supplied to companies who have completed our Data Controller Agreement, for help contact nigel@thebpts.co.uk

If you require a Data Controller Agreement Form, or your Data Controller person has changed, please contact us for a new form to update the information.

Allergen Advice – Important Information for All Exhibitors
EU Food Information for Consumers Regulation 1169/2011 came into force on 13 December 2014.

This legislation brought in a mandatory requirement for businesses to provide accurate allergy information for unpackaged (loose) food. This information must be readily available and provided in the form of a sign or label directly next to the loose product. It will not be sufficient for exhibitors to simply declare they do not know whether a food contains any of the 14 allergens listed under the regulation.

This will include any samples of food, catered products such as cakes, biscuits, mints /sweets / crisps / nuts and other items given out or passed to others from exhibition stands.

In dealing with enquiries from customers regarding the content of food that may be related to allergies, as some food allergies e.g. nuts, can be life threatening, it is therefore very important and a legal requirement that accurate information is given.

Smoking and e-cigarettes
Smoking, including that of electronic cigarettes & vapes, is only permitted in designated smoking areas at all venues.

Health and Safety
All exhibitors must comply with the Health and Safety at Work Act 1974, and any regulations made thereunder. The BIG Promotional Trade Show in cooperation with their contracted venues is committed to operating the show in compliance with all the relevant legislation and guidelines covering Health and Safety at Work and it is a requirement that all exhibitors, contractors and visitors comply with the law and the regulations of the venue at all times. Copies of the legislation can be downloaded from www.hse.gov.uk

The BIG Promotional Trade Show Limited takes the issue of Health & Safety very seriously and anyone infringing any relevant legislation and/or any venue regulations will be asked to desist forthwith and for serious and continuing breaches may be banned from the premises.
